Your SAM.gov Registration & Renewal Checklist

Getting registered in SAM.gov is mostly about having the right things in front of you and doing the steps in order. This is the calm, tick-as-you-go version — gather what's below, work down the list, and keep it near your desk for renewal time.

Before you start — gather these
Have all of this ready and the actual registration goes quickly.
The steps, in order
Do them top to bottom. You can stop after step 2 if all you need is a UEI.
Timeline & renewal — read this twice
The dates are where most businesses get caught. None of this is automatic.
  • ~10–15 business days

    How long a correctly submitted registration typically takes to process.

  • 3–4 weeks

    If errors force a resubmission — get it right the first time.

  • Valid for 365 days

    A SAM registration expires after one year and must be actively renewed. Log in and choose “Renew Entity.” It does NOT auto-renew.

  • 60 / 30 / 15-day emails

    SAM emails the Entity Administrator at 60, 30, and 15 days before expiration. Watch that inbox.

  • Lapse = ineligible

    A lapsed registration silently makes you ineligible for award. Set your own reminder — don't rely on the emails alone.

Common reasons registrations get rejected or lapse
Nearly every failure traces back to one of these four.
  • Name or address mismatch with your IRS records

  • A missing or incorrect notarized Entity Administrator letter

  • Letting the registration lapse by treating renewal as automatic

  • Entity validation failures during the initial UEI assignment
